"Find Purchase Orders" and "Find Purchase Orders – OSU" to be Decommissioned on Jan. 31
Two Workday reports, "Find Purchase Orders" and "Find Purchase Orders – OSU" will be decommissioned on January 31, 2022. These reports will be replaced with two new reports coming in December named "Find Purchase Order Summary – OSU" and "Find Purchase Order Details – OSU." Users with saved filters "Find Purchase Orders" and "Find Purchase Orders – OSU" are asked to delete them prior to the decommission date. Changes to One Time Payments
Several improvements were recently made to the One Time Payments (OTPs) business process:
- HR Partner role impacts:
- Can initiate OTP for employees in any supervisory org and attach documentation
- Workflows to Cost Center Manager associated with worktags entered (or default if none entered)
- Can edit when a manager submits the OTP
- Can initiate OTP for employees in any supervisory org and attach documentation
- Cost Center Manager role impacts:
- Routes to Cost Center Manager for both university and Health System
- May edit the costing/worktags
- Added instructions regarding split costing
- Approval required for all OTP except taxable reporting and benefits (adoption, etc.)
- Validation to prevent costing entry on centrally funded plans
- Approval occurs prior to Compensation
The One Time Payments job aids are currently being revised to reflect these enhancements. In the meantime, the updates will be a topic during the Cost Center Managers office hours on Tuesday, December 14 from 1 - 2 p.m.
Research Reporting and Principal Investigator Office Hours Recordings
Last week, office hours were held to give end users an opportunity to learn more about reporting in Workday and ask questions about Workday. Both sessions were recorded. The Research Reporting office hours supported grants managers and the Principal Investigator office hours answered reporting questions from PIs.
Travel and PCard Office Hours 2022

The next Finance Office Hours session will be held from 1 p.m. - 2 p.m. on Tuesday, December 14. Use MS Teams to join.

Workday will be unavailable due to planned monthly maintenance on Saturday, December 11, from 2 a.m. to 10 a.m.
Kronos and external dormakaba time clocks will be available, but employees using Workday to clock in and out should enter their hours once Workday is available again.

Other Funding Timeout Issue Resolved
The timeout issue with the Faculty Financials/Other Funding Reports within the Grants Administration and Principal Investigator (PI) Dashboards has been resolved.
Update to Costing Allocation Enhancement: Earnings Excluded from Salary Over the Cap
As mentioned in the previous post from November 12, Workday recently delivered a fix which will correctly exclude the earnings from salary over the cap in most scenarios for actuals and encumbrances.
This was in place for the November monthly payroll and will first be fully in place for the biweekly pay period 11/7/21 - 11/20/21, check date 12/3/21. Additional information is now available regarding how to identify affected payments from prior pay periods via the Payroll Accounting page of the Business and Finance website (https://busfin.osu.edu/university-business/controller/business-processes/payroll-accounting).

HR/FIN PeopleSoft and Legacy Reporting Retirement Reminder
As shared in October, progress continues on the retirement of the legacy reporting systems tied to PeopleSoft HR and Finance, and will be complete at the end of calendar year 2021. In preparation for the shutdown, multiple activities have been completed or are ongoing to ensure that business and data analysts will have access to legacy data as needed.
