When the university asked OTDI to modernize our administrative systems with cloud-based Workday, Ohio State gained the ability to maintain a primary source of trusted data (a single source of truth) that could be shared by all of Ohio State and the Wexner Medical Center.
In addition to Workday (implemented in 2021) the university knew it also needed a new application to enable better reporting and data analytics for its business transactions. By adding Tableau as a partnering tool, Ohio State's data analysis and data visualization competencies have expanded. The Big Ten Academic Alliance is collaborating to celebrate Love Data Week. The international Love Data Week event is a means of celebrating “all things data” and seeks to bring people together to share their data experiences, learn data visualization best practices, and have fun during the process. The OTDI Data Governance team is excited to announce the next four drafting sessions in our definitions initiative .
Check the full blog post for registration information to attend a drafting session from Friday, April 14 through Wednesday, May 31. Specific terms will be discussed during each session. Approved and finalized definitions can be found on the Approved Institutional Definitions webpage.

Late last year, Ohio State’s Data Governance team launched a new initiative to standardize institutional definitions, partnering with colleagues across the university.
The first batch of these definitions, including full-time student, part-time student, and student rank has been finalized and is posted on the approved institutional definitions webpage . University members are encouraged to review these definitions and keep them in mind when discussing and analyzing student-related data.
The second batch of student-related terms, including definitions for full-time, part-time, and half-time students, is ready for community review. The group is open to hearing from all faculty and staff from the university and Wexner Medical Center during the review period. Those interested in reviewing these definitions are asked to fill out this Qualtrics survey by Friday, February 10 .
The license agreement for Collibra, the university’s data catalog tool, expires on December 22.
The current license agreement with Collibra expires on Thursday, December 22, and the system will be inaccessible beginning this date. The Data Governance team is currently exploring options to support the university’s data governance needs, though a final solution will not be announced until sometime in 2023. In the meantime, all data currently stored within Collibra will be preserved for the next tool. Additionally, users can continue to submit metadata via ServiceNow or by contacting the team at datagovernance@osu.edu and they will hold onto it until a new tool is selected.
Once a vendor has been selected to host the data catalog, an announcement will be made. Users can reach to datagovernance@osu.edu with any questions.
We use words like “student” and “employee” every day, but did you know that we don’t have standard definitions for these terms across the university and medical center? The Data Governance team is launching an initiative to standardize institutional definitions and is seeking assistance from colleagues across the university and medical center.
The webpages for Data Services information managed by the OTDI Data and Analytics team, have been reorganized into the OTDI Offerings webspace. You can now use it.osu.edu/data as a starting point for learning more about the Data Services toolset and other related information.
Reporting users have shared that sporadic data is missing from Tableau reports using the “ [CERTIFIED] Workday FIN Mart - Journal Line Detail ” Tableau data source. This data source is powered by journal line related datasets flowing into the Reporting and Analytics Environment (RAE) from Workday. T he reload/update of the journal lines data in the RAE is expected to be complete by August 24, 2022.
