Starting the week of April 5, 2022, we will be working behind the scenes to reload the core Journal Line dataset from Workday into the Reporting and Analytics Environment (RAE), starting with January 2021 data and finishing through current day. The reload process is expected to be complete no later than April 15, 2022. We will load the data incrementally in monthly buckets due to the size of the files. Thus, during this 10-day period, updates will appear as the load steps complete.
There will be no system outage or downtime due to this work. Users, reports, and dashboards should not be affected. Updated and complete data will flow into your existing queries without any changes on your part. Once the reload is complete, we will send out a follow up notification.
Change is needed for any kind of growth or progress to happen, but as we know change is rarely easy. Part of our three-year look back at Tableau includes mention of the January 2021 Workday implementation at Ohio State and how Tableau lent a hand. Read more .

This year marks the 3-year anniversary of Ohio State’s Tableau implementation. As shared in October , progress continues on the retirement of the legacy reporting systems tied to PeopleSoft HR and Finance, and will be complete at the end of calendar year 2021. In preparation for the shutdown, multiple activities have been completed or are ongoing to ensure that business and data analysts will have access to legacy data as needed. See the full post for more details and additional activity highlights.
Remaining activities for the university's Workday rollout include the retirement and shutdown of PeopleSoft data sources, BuckeyeOasis tools, and eReports and BuckIQ reporting services. Beginning November 1, access to these systems will be restricted to a small group of core users prior to system shutdown on December 31, 2021. Please review the full announcement for more detailed information on how to access common reports and historical data using new data tools.
eReports and BuckIQ will be retired on Friday, December 31, 2021. Historical PeopleSoft data (from 12/31/20 and prior) will only be available through historical reports in Tableau, archived reports in EDM, and by working with key central unit reporting teams. In addition, the databases for these reporting systems will also be retired, including: Financial Data Warehouse (DWRPT), Enterprise Data Warehouse (EDWRPT), Employee Analytics (EA), and GL Analytics Mart (DWRPT). Student data eReports and BuckIQ reports will also be moving to new tools.
As a part of the effort to retire the eReports system, pre-run copies of a select number of financials-based reports have been archived in the Enterprise Document Management (EDM) system (OnBase). Copies of the reports for fiscal years FY15 through FY20 (listed in the full article) have been loaded into EDM and are now available for view or download. For information on how to access and view these files, please review the Retrieving Historical Reports from OnBase (EDM) job aid found in the Administrative Resource Center (ARC). Addendum: As of July 29, archived historical files for FY21 period 1 (July) through period 6 (December) are now also available for view or download by Ohio State financial analysts.
The Data and Analytics team is offering one-hour Tableau hands-on help sessions. Initial sessions will be held weekly. The agenda for the sessions includes how to request appropriate access, walking through Tableau login steps, how to interact with data sources, how to use common reports, and how to save report filters. Time will also be allotted for an open question and answer period. See the full blog post for the MS Teams session link to join.
