System changes, including Job profile updates that support the Career Roadmap initiative will move to Workday production Saturday, October 22, through Friday, October 28.
During this period, Workday will remain available; however, users may notice system slowness due to the high volume of transactions being processed as part of go-live activities.
Career Roadmap job profile changes will be effective November 1, 2022, for employees paid monthly and November 6, 2022, for employees paid biweekly and those changing pay frequency. Employees will be able to see their own job profile on their respective effective date.

Beginning Friday, September 30, job titles from the "Position Title" field in Workday will integrate with Identity Management as employees are hired or as new HR actions occur.
As an example, the Ohio State web search currently provides Job Profile Title and Business Title in the "People Results."
After September 30, search results will include both Job Profile Title and Position Title (working title).

A recent enhancement is now in effect for how employees’ reporting structure data can be updated in Workday. As of Friday, Aug. 12, managers, manager liaisons and HR consultants have access to initiate assigning an employee or vacant position to another manager in Workday.
Managers, manager liaisons and HR consultants no longer need to gather employee data and submit a request through HR Connection if the new manager has a supervisory organization associated with the correct staffing model. This enhancement helps streamline the process, eliminates the need for manual data collection and increases the communication managers will receive throughout the process.
To initiate moving an employee or position to another manager in Workday, search for “Move Workers” in the Workday search bar and select Move Workers (Supervisory). If the new, proposed manager does not have the correct supervisory organization, a request should be submitted through hrconnection.osu.edu . More information is available on the HR website .

An issue with offer letters and onboarding documents flowing to OnBase has been resolved as of July 27, 2022. With the resolution implemented, offer letters and onboarding documents will be loaded to the employee personnel file within OnBase nightly around 11 p.m. EST. To provide a better job application experience and clear guidance for applicants and managers, Workday notifications throughout the job application process have been enhanced. The new and updated notifications will help applicants and managers be engaged and informed throughout important hiring milestones to highlight action items and meet deadlines, creating a more efficient hiring process. The new and enhanced notifications will be live in Workday by early August 2022.
As part of HR Optimization efforts, on Friday, July 15, enhancements were applied for Period Activity Pay (PAP) to assist with streamlining the business process for both Cost Center Managers and HR Consultants. See the full NewsLink article for details about the enhancements that were implemented.
The Recruiting Instructions field in Workday was recently removed from new job requisition requests, and, as of May 26, this field has also been removed when editing a job requisition. Outlined below is a summary of the recent changes related to recruiting instructions and job requisitions as it relates to the Scheduled Weekly Hours project.
The Recruiting Instructions field was removed on Edit Job Requisition and Create Job Requisition. The Job Requisition Change business process was updated to accommodate job requisitions no longer routing for financial approval and was updated so all job requisitions will route for full approval. The Scheduled Weekly Hours field will no longer be editable through Edit Job Requisition. If the hours need to be changed from what was initially requested, the job requisition must be closed and requested with the new hours OR the hours can be updated as part of the offer. Cleanup of existing and in progress job requisitions with FTE Hold Recruiting Instructions has occurred.
There is no additional action required other than being aware of the changes.
On Friday, May 27, several improvements related to Graduate Associates were applied in Workday. To streamline the application process, the following changes were made:
Removed questions on the Graduate Associate and Graduate Fellows application that were not being utilized by Talent Acquisition nor required for any reporting. Removed the offer letter generation and requirements to send and sign for all Graduate Associates. Updated the Period Activity Payment Document for Graduate Associates. Updated taxation language. Removed fields that are no longer being utilized. Inserted language from the Graduate Associate offer letter to compensate for the absence of an offer letter.
There is no additional action required other than being aware of the changes.
Upcoming May 4 Session: Improving Competencies Around Workday Reporting
On Wednesday, May 4, from 12-12:45 p.m., join a virtual session focused on improving competencies around Workday reporting. This session will focus on several report uses to help answer common business questions HR is expected to answer including a look at the difference between sup orgs and cost centers in terms of reporting. In addition, the data analytics team will be available to answer questions from attendees on reporting topics. This training is encouraged for anyone who uses Workday reporting.
