Updates were made to Module 1 of the 2 part Internal Order Billing BuckeyeLearn training . These updates reflect invoice workflow changes that were made in May 2024 and provide a better learning format for end users.
A new BuckeyeLearn Curriculum called " The Buying Experience " is now live. This is a 6-module curriculum covering the most used Requisition types for new employees. These can be taken as a full curriculum, or each one can be watched as a stand-alone course.
The Nelnet Commerce Manager training is a half-hour course and introduction to using Nelnet Commerce Manager. Nelnet Commerce Manager is a simple but flexible option for accepting credit card payments online. As a payment collection gateway, a website or an existing application can redirect customers to Commerce Manager to securely process credit card transactions or integrate payments through a Qualtrics survey. Commerce Manager can also be set up as a standalone site to sell simple individual items (for example, a ticket to a fundraising dinner) or to collect customer information (order number, invoice number, etc.) and accept payment in an amount entered by the customer. This course includes demonstrations using the tool including finding a transaction, canceling a transaction, processing a refund, and building and running a report. These processes are documented in a new Nelnet Commerce Manager job aid in the Administrative Resource Center (ARC).
The Earnings Operations course is an introductory module into Earnings Operations for fiscal staff, managers, and Senior Fiscal Officers (SFOs). The module includes information on defining an Earnings Operation, the roles and responsibilities, establishing a rate and cost recovery, the monitoring requirements, and closing an Earnings Operation. Completion requires passing the assessment with an 85% or higher. This course is required for those that have fiscal responsibilities for earnings units.
This 30-minute course reviews the Federal Work Study program from a finance perspective. The Federal Work Study program provides job opportunities for eligible students with financial need who are enrolled at least half time, allowing them to earn money to help pay indirect education expenses.
The Student Financial Aid office helps subsidize the cost of hiring students who have Federal Work Study awards. In other words, when you hire a Federal Work Study student position the department can get the cost of the student’s salaries and associated expenses subsidized if not fully covered. Non-Revenue Generating Units receive FULL subsidy for eligible wages and benefits. Revenue Generating Units receive 75% of the student’s eligible wages subsidized.
This training includes explanations of the processes for Federal Work Study, and the related costing allocation, central allocation and reconciliation of the GL. The training will also review reports that may assist with the Federal Work Study process.
There is a new Internal Order Billing course available in BuckeyeLearn to assist with the transition of Internal Service Delivery to Internal Order Billing.
This 60-minute course reviews the Internal Order Billing process, including what is changing with the billing process, why the change is being made, the workflow of the new process, and demonstrations of how you will interact with billing.
Match Exceptions Basics is now available in BuckeyeLearn . This 20-minute session is recommended for Ohio State employees who make purchases and work with suppliers.
This process is part of the supplier invoice process, which is part of Accounts Payable or AP. This course is meant to help staff who procure goods and services learn about the match exception process and the reasons when an invoice may go into a match exception status. This knowledge allows you to assist the suppliers you engage with to prevent or correct a match exception to be paid within the expected timeframe. We all play an important role in the procure-to-pay lifecycle when we purchase goods or services on behalf of the university.
The Business Leave request process has been updated to include the use of a new field: "On Behalf Of."
In the "On Behalf Of" field, enter the person’s name for whom the business leave request is being submitted; this may be the same name as the requester or another individual. This field must be populated so the request will route correctly. The Business Leave job aid , found in the Administrative Resource Center (ARC), has been updated with the new process.
Workday reporting is available to those using this process; users can find Business Leave requests they've submitted by searching for "My Requests" or requests submitted on their behalf by searching for "Requests Submitted on My Behalf."
Please note: This is not a university required process and does not replace other HR or Finance related processes (e.g., leave request or spend authorization). Please confirm with the Senior Fiscal Officer of your unit before submitting an initial business leave request to ensure your unit is using the business leave process.
The Office of the Controller has compiled an inventory of available trainings for end users broken down by finance and supply chain areas. The inventory provides the course name with link, description of the course, security roles the trainings are recommended for and if the training is required or recommended. The inventory will be updated as courses are added or edits are made.
Business and Finance has a new version of Payment Card Compliance training for FY22 that will be available in BuckeyeLearn beginning July 1, 2021. This 30-minute online curriculum includes the training on Payment Card Compliance and an assessment on the training. The course is primarily for any individuals who handle or process payment cards on behalf of the university or the medical center or who have a role that would affect the security of cardholder data. If you are in progress in the FY21 version of Payment Card Compliance, you have until the close of business on 6/30 to complete it before that version is closed and the new version would need to be restarted .
