Effective May 24, 2024 , a revised interim Earnings Operations policy will be issued. Changes were made to advance compliance with current Office of Management and Budget Uniform Guidance, the authoritative set of rules and requirements for federal awards management, and thereby reduce the risk of waste and misuse of federal funds. These changes are listed below.
Refreshing the definitions of the different types of earnings operations. Requiring earnings operations to use the proper accounting processes. Requiring earnings operations to post their fees publicly. Providing guidance around the tracking and recording of capital assets. Requiring ERIK approval of any earnings operation that plans to charge federal grants.

Supplier Invoice Reports Updated to replace Deprecated Field: Several reports have been updated to remove deprecated field Supplier Category and replace it with an alternate field Supplier Category for Supplier. End users with saved filters will be impacted but a targeted email went out to this population on Monday, May 13.
Coming Soon: UNIV Remaining Encumbrances - Requisitions, POs, Spend Authorizations: A new report will soon be released to help end users identify transactions and their encumbrances that will roll forward add the end of the fiscal year. The new report is called "UNIV Remaining Encumbrances - Requisitions, POs, Spend Authorizations."
Project Sources and Uses Updates : The Report Project Sources and Uses has been updated and enhanced. Users with saved filters may need to use the "Manage My Saved Filters" task to update their filter to the new Time Period to prevent it from being overridden when using a saved filter.
As a part of fiscal year-end activities, subaward supplier contract encumbrances will be closed out for FY24 and re-opened in FY25.
An encumbrance will not roll-forward into FY25 if a subaward supplier contract has an "Amendment in Process" status. This issue was confirmed in testing. As a result, the Office of Sponsored Programs (OSP) is providing guidance for subaward supplier contract amendments as detailed in the full post .
Below are details about recent and upcoming reporting changes as of May 6.
"HR for Finance - Job Requisition Status" Enhancements:
New prompts will be added to the "HR for Finance - Job Requisition Status" report, effective the evening of May 6. The new prompts will allow users to run the report based on a date range for job requisition fill dates or job requisition close dates. If you populate both the fill date and close date range prompts, the report will return results that are within either of those date ranges.
The "Business Processes Awaiting Action - Supplier Invoice Detail" report has been enhanced to now include a column on the output of the report for "All Match Exception Reasons." This same column has also been added to the drill detail on the "Business Processes Awaiting Action - Supplier Invoice Summary" report.
"Find Journal Lines - OSU - Posted Journals by Amount Type" Enhancement:
The "Find Journal Lines - OSU - Posted Journals by Amount Type" report has been enhanced to now include a column on the output of the report for the "Miscellaneous Payee" and "Miscellaneous Payee ID" when applicable.
"Asset Management - Net Book Value" Enhancement:
This report will be enhanced Monday May 6 so that assets that have been disposed of in the current fiscal year with a transaction effective date in a prior fiscal year will still be included in the report output. To accomplish this, Asset Disposal Accounting Date has been added to the report filter, this will require an update to any saved filters to start picking up these assets in your results. There have been three additional columns added, Asset Disposal Accounting Date, Asset Cost Accounting Date, and Asset Cost Transaction Effective Date.

Find Supplier Invoice Details - OSU Enhancements :
The "Find Supplier Invoice Details - OSU" report has been enhanced to include a column on the output of the report for the Unit Cost.
Credit Card Transactions - OSU Enhancements:
The report "Credit Card Transactions - OSU" has been enhanced to include two new columns. The report will now include the "Card Embossed Name" as well as the "Expense Report Approval Date" when applicable.
Enhancement to Asset Reports:
An enhancement has been made to the "OSU - Find Assets" and "Asset Physical Custody" reports. The output of these reports now display the field "Disposal Type" instead of "Disposal Method."
Business Processes Awaiting Action Suite Enhancements:
Two new columns have been added to the output of the "Business Processes Awaiting Action - Details" reports. The new fields include the "Created Date" and the "Total Amount."
Report Retirements:
On Friday, March 29 , the reports "In Progress Business Processes by Cost Center" and "In Progress Business Processes by Cost Center for Company Level Security" will be decommissioned. Specifics about the replacement reports for those being decommissioned are in the full post.
During the week of Monday, March 18, multiple Workday users reported receiving an error message beginning with “Maximum stack weight exceeded! Possible infinite loop?” while attempting to edit a miscellaneous payee record (address, bank account etc.).
The OTDI Enterprise Business Solutions team worked with Workday support to resolve the issue as of Friday, March 22. If you experience additional issues regarding editing miscellaneous payees, please contact the IT Service Desk at 614-688-4357 (HELP) or servicedesk@osu.edu .
A data clean up effort was conducted to eliminate $0 balances which were incorrectly rolling forward for worktag combinations in the "Equity Balances by Balancing/Carry Forward Worktags suite" of reporting.
Upon further investigation it was confirmed this was due to a conversion issue effective FY18. A correction was done in the system that will now significantly reduce this issue. There may still be some $0 balance lines that exist and that is due to non-conversion journals (entries processed by accounting or cost center accountants) that may have hit equity directly in the past. End users cannot post to equity directly in journals any longer and should work with the central accounting teams if they have any questions. Please note this clean up had no net effect on your current equity balances.
Journal Activity for this Project resulted in the following:
Peoplesoft converted balances loaded as 47360: Net Transfer with an offset to 17000: Suspense in FY2017 – Do not use FY17 as a reporting period as full balance sheet reporting was not loaded here. Beginning Balance calculated in FY2018 to close 47360: Net Transfer to 30000: Equity. – This does not impact your FY18 balances and is the first year of true balances. Journal correction reversing 30000: Equity and 17000: Suspense in 2018 – This entry netted out the original conversion to 30000: Equity that posted in FY18 and the clean-up entry on 17000: Suspense balance that rolled over from FY17.

Enhancements have been made to both the "Find Supplier Invoice Request (SIR) Summary - OSU" and "Find Supplier Invoice Request (SIR) Detail - OSU" reports.
Coming Soon: Business Processes Awaiting Action Dashboard Changes:
To improve performance on the "Business Processes Awaiting Action" dashboard, changes will be made to the Requisition report on the dashboard.
Coming Soon: Saved Filters on Find Supplier Invoice Reporting:
On March 18 , changes will be made to prompts on the "Find Supplier Invoice Summary - OSU" and "Find Supplier Invoice Details - OSU" reports.
Coming Soon: Business Process Approval Times - Supplier Invoice Reporting:
To coincide with changes to workflow on supplier invoices, the Grants Operation Center Rep approval time will be added to both the "Business Approval Times - Supplier Invoice Summary" and "Business Process Approval Times - Supplier Invoice Detail" reports during the week of March 18 .
Changes are being made to help users leverage the Requisition Worklet to manage their requisitioning process.
Users of the "Create Requisitions" task will now see a "Try new Experience" button. This will redirect them to use the Requisition Worklet. Additionally, for Requisition Worklet users, on the top of the page to the left of the shopping cart, a new question mark icon will be available that when clicked will provide basics on how to use the tool. Stay tuned for more detailed information regarding the buying experience.
Beginning Friday, March 15 , all non-PO internal supplier invoice lines over $5,000 tied to the OSP Grant Hierarchy will route to the Grants Shared Service Center for review prior to posting. This review is to help ensure that grants are charged only approved internal billing rates, charges are in compliance with the grant agreement, and have appropriate supporting documentation. If there are no published rates and/or the rates do not match what is itemized on the requisition/quote or invoice that supports billing to OSP grants, the Grants Shared Service Center will be sending back the transactions.
