Managers play an important role in guiding new employees as they pursue successful and fulfilling Ohio State careers. There are many resources managers can leverage to welcome and transition new team members. Personalize a welcome message in Workday and make sure the new employee completes important onboarding tasks. Additionally, guides are available to identify important steps to complete at various points in the new employee’s onboarding. More information is available on the HR website .

To continually improve the candidate recruiting experience, Workday updates were made last week to ensure all position information is captured during the edit position restriction and job requisition business processes. Both business processes will include validations as part of the submission process, which means if required fields are left empty or do not meet the necessary criteria, an error notification will appear. This knowledge article outlines the required information. If you receive the error message, provide the missing information and continue the process. Additionally, the validation that required job requisition compensation to be the same as default compensation is no longer necessary and has been removed.
It is important to accurately capture all position information and job descriptions for every position, including student employee jobs. This helps streamline the application process, improves job requisition data and gives candidates a better understanding of the role. Job aids are being developed to help with the creation of job descriptions and will be available in the coming weeks.
The compensation team will work with HRBPs and HRCs to help update and correct inaccurate information that currently exists in positions. More information will be shared as data is reviewed.

Enhanced Period Activity Pay (PAP) functions are anticipated with the Workday release on March 11. When implemented, these changes will include a subpage that simplifies data entry, particularly for graduate associate pay.
The current PAP format requires multiple rows to be entered per semester. The new layout will require only one row. By default, the system will calculate the total amount entered to be paid in equal installments over the designated pay periods. A new subpage will be available where specific amounts can be entered for each pay period.
When the Workday release becomes available in production on March 11, all existing PAP entries will automatically be displayed in the new format. Nothing is required from HR partners until new PAP entries are made for future semesters.

Please be aware that the HR team has been completing a clean-up on positions retroactively, involving changes between staffing models (position management to job management, or vice versa). This may cause financial users to see unmapped fringe benefits on reports. Unfortunately, there have been cases where this has affected sponsor billing as well. The Enterprise Business Solutions (EBS) team is aware of the issue and is actively working to investigate the impact so that a central correction can be completed. There is no other fix right now unless it is completed centrally, and end users are being made aware that a resolution is in the works.

System changes, including Job profile updates that support the Career Roadmap initiative will move to Workday production Saturday, October 22, through Friday, October 28.
During this period, Workday will remain available; however, users may notice system slowness due to the high volume of transactions being processed as part of go-live activities.
Career Roadmap job profile changes will be effective November 1, 2022, for employees paid monthly and November 6, 2022, for employees paid biweekly and those changing pay frequency. Employees will be able to see their own job profile on their respective effective date.

A recent enhancement is now in effect for how employees’ reporting structure data can be updated in Workday. As of Friday, Aug. 12, managers, manager liaisons and HR consultants have access to initiate assigning an employee or vacant position to another manager in Workday.
Managers, manager liaisons and HR consultants no longer need to gather employee data and submit a request through HR Connection if the new manager has a supervisory organization associated with the correct staffing model. This enhancement helps streamline the process, eliminates the need for manual data collection and increases the communication managers will receive throughout the process.
To initiate moving an employee or position to another manager in Workday, search for “Move Workers” in the Workday search bar and select Move Workers (Supervisory). If the new, proposed manager does not have the correct supervisory organization, a request should be submitted through hrconnection.osu.edu . More information is available on the HR website .

An issue with offer letters and onboarding documents flowing to OnBase has been resolved as of July 27, 2022. With the resolution implemented, offer letters and onboarding documents will be loaded to the employee personnel file within OnBase nightly around 11 p.m. EST. Recognizing and implementing Equal Employment Opportunity (EEO) requirements supports the recruitment of a talented and diverse candidate pool for hiring the most qualified individual for the role.
